Terms of Service & Booking Conditions

Last updated: [date]

Welcome to Sensanium. These terms explain how we provide our website, travel-planning services and bespoke wellbeing journeys.

1. About Sensanium

Sensanium is a trading name of [registered legal name], established in the Netherlands.

Business address: [address]
KVK number: [number]
Email: [business email]
Telephone: [number]

In these terms, “we”, “us” and “our” mean the business identified above. “You” means the person making an enquiry or booking and, where relevant, each traveller.

2. Our services and contractual role

We curate personalised travel experiences combining selected accommodation, movement, relaxation, dining and other agreed services.

Before you commit to a booking, your proposal will identify:

  • The services included and excluded.
  • Travel dates, destination and accommodation.
  • The total price and payment schedule.
  • Cancellation and amendment conditions.
  • The organiser and any relevant booking intermediary.
  • Applicable financial protection and emergency contacts.

Where we act as an intermediary for a separately contracted service, we will identify the provider and explain that role before you book.

The legal classification of your booking depends on the arrangements actually sold. Describing ourselves as an intermediary does not remove any responsibilities imposed on us by applicable law.

Where your booking constitutes a package, mandatory package-travel protections apply and take priority over any conflicting provision in these terms.

3. Enquiries, proposals and booking confirmation

Submitting an enquiry or attending a consultation does not by itself confirm a booking.

Proposals remain subject to availability until confirmed. Each proposal states its validity period and any steps needed to secure the arrangements.

A booking becomes binding when you accept the final proposal and these terms, we issue written booking confirmation, and any payment expressly required to complete confirmation has been received.

Any separate planning fee must be disclosed and expressly agreed before the relevant work begins.

You will receive your booking documents in a format you can retain.

4. Prices and payments

Website “from” prices are indicative. The personalised proposal specifies the final price, currency, applicable taxes, known mandatory charges and any costs that cannot reasonably be calculated in advance.

Payment terms are:

Deposit: [amount or percentage and due date]
Balance: [due date]
Accepted payment methods: [methods]

A deposit is not automatically non-refundable. Any cancellation charges are governed by the conditions disclosed before booking and applicable law.

We will not add optional services or charges without your agreement.

If payment is overdue, we will contact you and provide an appropriate opportunity to resolve it before taking further action, subject to applicable law.

We do not reserve a general right to increase confirmed prices. Any legally permitted price-adjustment mechanism must be expressly included in your booking agreement, including any corresponding right to a price reduction.

5. Inclusions and exclusions

Only services expressly listed in your confirmed proposal are included.

Unless expressly included, the price excludes:

  • International flights and airline extras.
  • Visas, visa fees and passport costs.
  • Travel and medical insurance.
  • Personal spending and optional activities.
  • Meals, treatments or transport outside the agreed itinerary.

Flight selection and booking coordination may be available on request. Airfares and any service fees will be quoted separately and require your approval.

6. Accommodation and experiences

Hotels and experiences shown on our website illustrate available possibilities. A featured property is not necessarily a contracted partner or a guaranteed inclusion.

Your confirmed proposal identifies your accommodation, room category, meal arrangements, session numbers and scheduled experiences.

Requests such as specific rooms, views or upgrades are guaranteed only where expressly confirmed.

Changes after confirmation are handled under Section 9 and applicable law.

7. Your information and travel requirements

Please provide accurate traveller names, contact details and information reasonably required to fulfil your booking. Check your confirmation promptly and tell us about errors.

We will provide the passport, visa and health-formality information required by applicable law. You remain responsible for holding valid documents and meeting entry requirements applicable to your circumstances.

Tell us about relevant accessibility or assistance requirements before booking so we can discuss suitable arrangements and confirm what providers can accommodate.

Sensitive information is handled as explained in our Privacy Policy and, where required, through separate explicit consent.

8. Changes or cancellation requested by you

Contact [booking email] in writing to request a change or cancellation.

Changes depend on availability. We will explain any proposed price difference, supplier cost or service fee before you agree.

You may cancel before departure. For package bookings, any termination fee must be appropriate and justifiable under applicable law. Where relevant, it reflects the timing of cancellation, costs saved and income from alternative use of the services. We will provide justification on request.

The cancellation schedule applicable to your journey is: [insert reviewed schedule or identify the booking-specific schedule supplied before acceptance].

Where the law allows cancellation without a fee, that right takes priority over the schedule.

Any statutory right to transfer a package booking to another eligible traveller remains unaffected. Applicable notice requirements and actual, reasonable transfer costs will be explained.

9. Changes or cancellation by Sensanium

If changes become necessary, we will notify you promptly and explain your options.

For package bookings, significant changes to the main travel arrangements will be handled in accordance with applicable law, including any right to accept the change, accept an offered alternative or terminate without a cancellation fee.

If we cancel, we will provide the refund and any compensation required by law. We will not require you to accept a voucher in place of a refund where you are entitled to money back.

Where unavoidable and extraordinary circumstances significantly affect a package or transport to its destination, applicable cancellation, assistance and refund rights remain in place.

Refunds will be made within the applicable legal deadline.

10. Wellbeing services and medical advice

Sensanium provides travel coordination and general wellbeing experiences. We do not provide medical advice, diagnosis or treatment.

Website content, consultations and wearable insights do not replace advice from a qualified healthcare professional.

Before taking part in activities or treatments, seek appropriate medical advice where you have a health condition or concerns about suitability. Relevant providers may carry out their own screening and explain treatment-specific requirements.

You may decline an activity. Any refund depends on the circumstances, the booking conditions and your statutory rights.

Individual experiences and results vary. We do not guarantee weight loss, changes in biological age, improved medical conditions or particular fitness, sleep or recovery outcomes.

11. Wearables and digital services

Where an Oura Ring or another device is included, your proposal will identify the model or specification, delivery arrangements and any membership costs included or payable separately.

Sharing device data with Sensanium is optional and requires a separate explanation and any necessary consent. Receiving a device does not require you to authorise data access.

Wearable insights support general wellbeing awareness and are not a substitute for professional medical assessment.

Manufacturer terms may apply to third-party accounts and services. They do not remove your statutory rights against the seller of an included device.

Any future Sensanium app may have additional terms presented before use.

12. Insurance

We strongly recommend insurance appropriate to your destination and activities, including medical expenses, cancellation, interruption and repatriation.

Check any exclusions involving existing conditions or planned activities. Insurance is included only where expressly confirmed.

Having insurance does not reduce your rights against Sensanium or a responsible provider.

13. Conduct and safety

Please follow reasonable safety instructions and respect local laws, staff, other guests and property.

A provider may restrict participation where there is a genuine safety concern. Any removal or restriction must be proportionate to the circumstances.

You may be responsible for damage or loss you cause to the extent provided by law. We do not impose an automatic forfeiture of all payments for every conduct issue.

14. Problems during your journey

Tell the relevant provider and Sensanium promptly if a service does not match your booking, so we have a reasonable opportunity to address it.

Journey support: [telephone and email]
Support hours: [hours and time zone]
Emergency arrangements: [details]

For package bookings, our duties to remedy problems, provide assistance and offer appropriate alternatives apply as required by law.

Nothing in this section removes rights that cannot lawfully be restricted.

15. Responsibility and liability

We are responsible for our services and obligations under applicable law.

Where we are the organiser of a package, we remain responsible for proper performance of the travel services included, even when those services are delivered by other providers.

Where we arrange a genuinely separate service as an intermediary, the provider is responsible for its performance, while we remain responsible for our own booking and advisory obligations.

Nothing in these terms excludes or limits liability where doing so would be unlawful, including mandatory consumer rights and applicable liability for personal injury or intentional or seriously negligent conduct.

Any limitation permitted by an applicable international convention applies only to the extent allowed by law.

16. Financial protection for package bookings

[Complete before accepting package bookings: identify the insolvency-protection provider, address, contact information, protection scope and how travellers can make a claim.]

Where applicable, your booking documents will also include the required standard package-travel information form.

Sensanium will not claim membership of a guarantee scheme or trade association unless that membership is active and applicable to your booking.

17. Privacy and communications

We handle personal information according to our [Privacy Policy link].

Optional marketing and processing of sensitive wellbeing or wearable information require separate choices where applicable. Accepting these terms does not constitute consent to those optional uses.

We may contact you about your enquiry, booking or service arrangements.

18. Website content and acceptable use

Website content is provided to help you explore our services. We aim to keep it accurate and will correct errors when identified.

You must not misuse the website, interfere with its operation or access information without authorisation.

Content owned by Sensanium or its licensors may not be reproduced commercially without permission, except where permitted by law. You may retain copies of your own proposals and booking documents.

19. Complaints

Send complaints to [complaints email], including your booking reference and the issue you would like resolved.

We aim to acknowledge complaints within [number] working days and provide a substantive response within [number] days. If more time is needed, we will explain why.

Applicable alternative dispute-resolution body, if any: [verified details or remove if none].

This process does not restrict your right to seek legal redress.

20. Applicable law

These terms are governed by Dutch law. If you are a consumer, this choice does not deprive you of mandatory protections available under the law that applies to you.

Disputes may be brought before the courts competent under applicable law. Nothing here requires consumers to use a court where that requirement would be unlawful.
